Final Project Examination Procedure / Online Thesis | Department of English Literature

ENGLISH LITERATURE DEPARTMENT

General requirements

  1. Final Project / Thesis Examination is carried out after the thesis script is approved by the supervisor for testing.
  2. The Final Project Examiner Team consists of 2 or 3 lecturers appointed by the Dean on the recommendation of the Head of the Department.
  3. The Thesis Examiner Team consists of 3 people appointed by the Dean upon the recommendation of the Head of the Department / Study Program Coordinator.
  4. The Final Project / Thesis Examiner Team consists of the main examiner and the supervisor who acts as the chief examiner.
  5. Final Project Examination / Thesis will take 60-90 minutes.
  6. Final Project / Thesis Manuscripts submitted to the Department and Examiners no later than 7 (seven) days before the exam date.
  7. The results of the Final Project / Thesis assessment are determined by the Examining Team with the qualifications (a) Passing without revision, (b) Passing with revision, or (c) Not Passing.
  8. The results of the assessment are announced by the Chief Examiner after the exam is declared complete.
  9. Students are declared to have passed the Final / Thesis examination if the assessment conclusion value is as low as C.
  10. Scientific papers for theses, theses and dissertations are required to attach a similarity test certificate (similarity check). Similarity tolerance (similarity) a maximum of 30% for undergraduate programs and 20% for postgraduate programs.

Application Use Instructions

The following are instructions for using the Cisco Webex Meetings and Google Meet applications that can be used for synchronous online implementation of Final / Thesis exams.

1. BEFORE EXAM

Step 1

College student:
After the Final Project / Thesis script is declared feasible by the Supervisor, requesting approval for the examination from the Supervisor through the application WA or E-mail, by including:
- NIM
- Name
- Study Program
- Website link to the Test Approval Form page
- Completely filled in the Test Approval Sheet file (.doc)

Step 2

Supervisor:
Provide exam approval and upload the Test Approval Sheet File, via the following form.

Step 3

College student:
Register / apply for an exam and upload all exam requirement files via the following form, including:
a. Final Project / Thesis script file (in .doc format)
b. KRS file (in .pdf format)

Step 4

Major:
1. Checking all exam requirement files including the exam approval from the Advisor, and periodically announcing the exam schedule, through the Department's website.
2. Sending exam schedules, Minutes File and Exam Assessment Sheet Files (in .doc format) to examiners, via the E-Office

Step 5

College student:
Contact and send the Final Project / Thesis Manuscript File (in .doc format) to the examiners, via the application WA or E-mail

Testers:
Study the Final Project / Thesis script that has been received, and if necessary, provide markers and / or notes on parts of the manuscript that need to be corrected by students

Step 6

Examiners and Students:
Prepare the tools needed for the online exam, namely:
1. PC, Laptop, Tablet, or Smartphone, which is equipped with an internet connection
2. Cisco Webex Meetings application, Google Meet, or other similar applications

2. EXAMINATION EXAMINATION

Students are required to document the implementation of the exam in the form of screenshots (screenshots) the implementation of the exam in the virtual exam room

Step 1

Chairman of the Board of Examiners (Advisor I):
Open and invite examiners and students to enter the virtual exam room, 10 minutes before the scheduled exam time. The devices used for the online exam are:
1. PC, Laptop, Tablet, or Smartphone, which is equipped with an internet connection
2. Cisco Webex Meetings application, Google Meet, or other similar applications

Step 2

Examiners and Students:
a. Enter or join the virtual exam room, and test the connection / device used
b. Students prepare / open presentation files and manuscript files on the devices used, as well as prepare paper and writing tools as needed

Step 3

The Test Begins:
a. The Chair of the Board of Examiners opens and guides the exam process
b. Student presentations for 10-15 minutes
c. Question and answer session by each board of examiners in turn

Step 4

Chairman of the Board of Examiners:
Ask students to wait for the decision on the exam results, and temporarily remove students from the virtual exam room.

Testers:
a. Closed discussion to provide an assessment and determine the outcome of graduation
b. Send the completed and digital signature of the Exam Assessment Sheet file to the Chair of the Board of Examiners for recapitulation, via the application WA or E-mail

Step 5

Exams completed
a. The Chairman of the Board of Examiners re-enters students into the virtual exam room, then announces the passing exam results
b. Examiners send back the Final Project / Thesis Manuscript file to students for revision, through the application WA or E-mail
c. The Chair of the Examiners closed the virtual exam room

Step 6

Chairman of the Board of Examiners:
Submitting the Minutes and Examination Assessment Sheets to the Department, via the following form.

3. POST EXAM

  • Students who have passed the Final Project / Thesis examination must complete their revisions within a maximum period of 3 (three) months from the date of the examination.
  • Students who do not complete the revision of the Final Project / Thesis until the maximum deadline determined, their graduation is declared invalid and students are required to repeat the exam.
  • Students are required to write and submit scientific articles based on the Final Project / Thesis that has been tested in the Department.
  • Final Project / Thesis results will only be issued after the student completes all of the above obligations
  • After the score is out, students must immediately take care of the judicium process to the Faculty.
  • If the graduation fails in the current semester, students are required to register academically and administer the yusidium in the following semester.

Step 1

College student:
a. Make revisions and consult the revised results to testers online, through the Cisco Webex Meetings application, Google Meet, WA, Email, or other applications
b. Writing scientific articles based on tested Final Projects / Thesis

Step 2

Para Examiner:
After the revision is complete and declared feasible, give approval / ratification of the revised manuscript and send the Ratification Sheet File that has been affixed with a digital signature (in .doc format), via the following form

College student:
Send all the completeness of the Final Project / Thesis file via the following form, which consists of:
a. Final Project / Thesis File (in .doc format)
b. Scientific Article File (in .doc format)
c. Similarity Test Result File (Similarity Check)
d. Examination implementation reflection file accompanied by documentation /screenshots Examination (in .doc format)

Step 4

Major:
a. Check all the completeness of the Final Project / Thesis file, including approval / ratification of the revised results from the examiners.
b. Complete the Ratification Sheet File with a digital validation signature from the Head of Department and the Dean.
c. Processing Final Project / Thesis Manuscripts File into one PDF document
d. Processing / uploading grades to Siakad
e. Periodically process the submission of SK for Guidance and Examinations to the Faculty
f. Periodically uploading reflection on the implementation of the exam along with documentation / screenshots of the exam implementation to the website of the Department
